Onspring pricing per year and how platform tiers, license models and implementation add up

The short answer: Onspring publishes no dollar figures, but it publishes the structure of the bill, and the bill has two parts. You pick a platform level (Bronze, Silver, Gold or Platinum), which sets support, environments and AI access. Separately, you license either named users, products with unlimited employee users, or a hybrid of the two. Recorded contracts read on 22 September 2026 put the median Onspring deal at $33,808 a year, with deals from $9,972 to $55,810.
That places Onspring below the big GRC suites and above SOC 2 automation tools. Where you land inside that range depends far more on which licensing model you choose than on anything a salesperson discounts.
How much does Onspring cost per year?
Onspring sells through a demo and a quote, so the only real prices are the ones buyers report after signing. Vendr holds the largest set. Its record on 22 September 2026:

Budget about $34,000 a year for a typical deal. Treat the $9,972 floor with care: the low end of a contract range describes somebody's small scope, usually a single product on a basic tier, not an entry price you can ask for. Nobody publishes an Onspring list price. It has no AWS Marketplace listing, so there is no rate card to anchor against the way there is for Diligent, whose AWS listings price every package.
Onspring pricing is two bills for the platform level and the licenses
Onspring's own pricing page says it plainly: "Users and products are licensed separately from the Platinum, Gold, Silver and Bronze platform levels." Most pricing articles collapse these into one tier, which is why quotes surprise people. The platform level is a service tier. It decides how fast support answers, whether you get a place to test changes, and whether you can use Onspring AI. It says nothing about how many people or products you get. Here is what each level lists, read from onspring.com on 22 September 2026:

Two lines in that table decide the tier for most buyers. First, Bronze lists no non-production environment, so any workflow change you build is built where your auditors' data lives. If your compliance team edits workflows often, that alone pushes you to Silver. Second, Onspring AI requires Silver or higher. If AI drafting or summarizing was part of the demo, check which tier the demo ran on.
Does Onspring charge per user?
Only if you choose that model. Onspring offers three:
- By Users: you define a number of users, and they get access to every product on the platform.
- By Products: you pick products, and the license covers unlimited employee users within your organization.
- Hybrid: a defined set of users on all products, plus unlimited employees on the products you select.
The choice follows from who touches the system. A GRC team of eight running risk, audit and vendor reviews wants By Users: few people, many products. A company that needs 3,000 employees to attest to policies or report incidents wants By Products for that one product, because per-user pricing on a whole workforce buys thousands of licenses to collect a signature twice a year. Hybrid covers the common case where both are true. If the workforce-wide job is really annual compliance training rather than policy sign-off, a corporate learning management system is usually the cheaper place to run it, and Onspring only needs the completion record.
Ask for the quote both ways. The metering unit usually moves the total more than the negotiated discount does, a pattern we also found in Hyperproof's contract, which meters programs and modules rather than people.
What costs extra beyond the subscription?
Onspring lists the items you can add later: non-production instances, file storage, training seats, SMS messages, and IP firewall restriction rule changes. None has a public price. Storage and extra environments are the two that grow on their own, so ask for the unit price of each before signing, and a note of how much storage your level includes.
Implementation is the bigger number. A buyer quoted in Vendr's community notes reports that Onspring always proposes its in-house services team first, at rates $50 to $75 an hour higher than its solutions partners, and that a partner can be contracted on the same Onspring order form. How to negotiate an Onspring contract
Vendr reports no average discount for Onspring, so there is no benchmark percentage to quote back. Buyer notes on the same page point to where the leverage actually is. Onspring raised prices in 2024, the best discounts recently have come from multi-year agreements, and one buyer reports Onspring agreed to hold the rate flat for a two-year term.
- Get the platform level and the license count quoted as separate lines, so you can change one without reopening the other.
- Price By Users and By Products side by side for the same scope.
- If you sign for two years, get the flat rate for both years in writing, not a first-year discount.
- Ask for a partner implementation quote before accepting the in-house one.
- Buy the level you need in year one. Moving up a level later is easy; moving down at renewal is a negotiation.

Onspring's closest structural match is LogicGate, which charges for Applications and Power Users and lets standard users in free. Both are no-code platforms where you build the workflow yourself, and both sit at the top of their range only when you license many products. Onspring's median runs about $20,000 below LogicGate's, which is the honest reason it lands on so many mid-market shortlists. Is Onspring worth the price?
For a team that wants to build its own risk, audit, policy and vendor workflows on one no-code platform, and has someone to own the configuration, yes: it undercuts the suites and the By Products model is generous for workforce-wide processes. It is a poor fit for a team that needed the workflows built for it, and it does not tell you when a regulation changes. Onspring runs the processes you design around rules you already know about.
